We're looking for an Office Manager to help us grow our office in Warsaw. The ideal candidate is a Office Manager/ Administrative Assistant with a solid background in administrative area, familiar with best practices who is self-driven, motivated, independent, and proactive.

You as a member of the HR team will take an active part in building positive working environment.

What You’ll Be Responsible For:

  • Managing the reception area and handling incoming calls and correspondence
  • Coordinating couriers and postal services
  • Organization of business trips
  • Greeting and assisting foreign and domestic clients, employees, and guests visiting the Warsaw office
  • Organizing access to the office for new employees and participating in the onboarding process (showing around the office, helping with delivering equipment, assisting with the adaptation process)
  • Organizing and supporting meetings and company events
  • Coordinating conference room bookings and logistics
  • Ensuring a smooth flow of documents and information within the company
  • Ordering and managing office supplies, groceries, drinks, and stationery
  • Cooperating with vendors and service providers (e.g. catering, printers, cleaning, IT equipment)
  • Liaising with building management and security
  • Monitoring the condition and appearance of the reception, kitchen, and meeting rooms
  • Assist with day-to-day operations and provide general administrative support to ensure the smooth running of the office and the happiness of employees
About The Position

What We’re Looking For:

  • Previous experience in a similar role (office management, secretarial, or administrative support)
  • B.Sc or Master’s degree (preferably in the field of administration and business)
  • Excellent knowledge of English and Polish, spoken and written
  • Excellent communication skills – professional and friendly
  • Strong organizational and time-management abilities
  • A proactive attitude and the ability to work independently
  • Reliability, attention to detail, and a sense of responsibility
  • Full-time availability from Monday to Friday
  • Punctuality
